Condensed Job Description

REPORTING:

  • This position reports to the Controller.

PRIMARY RESPONSIBILITIES (Ensure that the following tasks are implemented upon your presence or absence in the shop):

  • Establish current tasks and flow of work.
  • Directly receives all labor orders from Sales and Administration and assigns work accordingly.
  • Generate and distribute backlog (current and projected) to include:
    • Remaining (total) and estimated projected revenues.
    • Labor (direct, indirect, vacation)
    • Material
    • Shop space and equipment
    • Outside Services
  • Assign jobs to the Project Managers
  • Manages and tracks shop personnel in terms of:
    • Manpower needed
  • Organizes and/or supervises:
    • Weekly production meetings.
    • Project start-up meetings.
    • Post-production meetings.
    • General shop meetings.
  • Meetings with accounting to discuss monthly planning.
  • Project Manage small, ongoing projects.
  • Develop skills to Project Manage mid-size jobs.
  • Perform other tasks as necessary.

AT PROJECT INITIATION:

  • Receives and Evaluates incoming Work Orders.

DURING ONGOING PROJECTS:

  • Meet with Project Managers to discuss:
    • Actual vs. budgeted time and materials
    • Job efficiency
    • Work space
    • Manpower re-allocation
    • Upcoming milestones
    • Change Orders

  • Detail oriented.
  • Ability to multi-task, remain focused, and follow through with given duties.
  • Self motivated and directed.
  • Scheduling and spreadsheet software skills required.
  • Ability to track and manage frequent production changes.
  • Ability to work in both an administrative and production atmosphere as a team member.
  • Project/Construction Management background desirable. 
Objectives For First 90 Days FIRST 30 DAYS (The following must be demonstrated at 30 day review):
  • Learn about our manufacturing process and products.
  • Familiarize yourself with the excel file for backlog.
  • Understand interoffice procedures for job initiation and kick-off.
  • Learn to read bid files and transfer data to backlog file.
  • Understand pre-manufacturing checklist.

FIRST 60 DAYS:

  • Master the current backlog excel file or create your own version that will serve the purpose required by your position.
  • Successfully coordinate with Project Managers to ensure that project milestones are met.
  • Successfully estimate and track revenue for a 2 week period, explaining any variances.
  • Successfully implement the job kick-off procedure including organizing kick-off meetings and assigning Project Managers, etc.
  • Have complete understanding of inside and outside resources available to accomplish tasks.

FIRST 90 DAYS:

  • Successfully track and report all labor usage to Sales and Controller on a weekly basis.
  • Be able to successfully provide insight to Sales for potential upcoming jobs and their impact on production schedule.
  • Be responsible for reporting variances in labor/materials and reasons for variances to Controller.
  • Work closely with Project Managers to achieve revenue targets each month.
  • Manage shop space efficiently.
  • Successfully implement the job close-out procedure including organizing and facilitating post-production meetings.

 

Starting Salary Range $40,000/year
